Important Workday Benefit Updates

As we continue our transition to Workday, we want to address some of the most common questions we are hearing and provide helpful reminders. Here are some key updates:

Adding and Verifying Your Dependents

To ensure the accuracy of the data in Workday, unverified spouses and dependents were not transferred from Banner, and employees were encouraged to update their records prior to the end of 2024. If you were unable to complete this verification and you have a spouse or dependent you would like to be eligible for benefits, including access to the Weinstein Center, participation in Summer Camps, or to be able to apply for Education Benefits, you may still verify them in Workday.

Please see the instructions to verify a dependent here.

Please see the definition of dependent as well as documents needed to verify a dependent on page 7 of our Benefits Guide.

How to Find Your Retirement Contributions:

Many of you have asked where to find your employer contributions to your retirement plan. The best place to view this information is on your payslip. Here’s how you can find it:

  1. Log into Workday and click the Menu on the top left.
  2. Select Pay from the options.
  3. You can then view or print a copy of your payslip.
  4. Look for the Employer Paid Benefits section, where you’ll find the details of your retirement contributions.

Leave Reports Reminder:

  • Monthly employees should update any leave taken in December in Workday.
  • Employees can request time off and have it approved in advance through Workday.

Flexible Spending Account (FSA) Reimbursement for 2024:

To ensure a smooth reimbursement process, here’s a brief breakdown of what to keep in mind:

Deadline for Submission:

  • You have until March 31, 2025, to submit your receipts for medical and dependent care expenses incurred in 2024.

How to Submit Claims:

  • You will need to submit claims through WEX, the vendor used for FSA management in 2024.
  • Instructions on how to submit these claims can be found on the University of Richmond’s Flexible Spending Account page

Medical FSA rollover

  • All medical FSA balances up to $640 will be rolled over to Health Equity after March 31, 2025.
