Understanding Workday Roles

February 5, 2025

Workday uses a role-based system to manage security access and permissions. Each role carries specific abilities and viewing rights that align with employee job responsibilities and business processes, ensuring secure and appropriate access to system features. The following are key roles that may be assigned to one specific person in an area or to the central office:

  • Timekeeper: Able to make corrections to hourly employee timesheets and correct unmatched time blocks to streamline manager approvals.
  • Cost Center Procurement Specialist Level 1: P-Card holder for the department, can make routine purchases and requisitions, and assist colleagues in their area with University purchasing rules.
  • Cost Center Manager: Budget manager responsible for transaction approvals, policy compliance, and reconciliations. This role cannot enter transactions except budget and accounting adjustments.
You may visit the Get Help page on the Workday website and review the Key Finance and HR Roles for a list of additional roles. You may also review the Finding Support Roles in Workday job aid to see a list of who has support roles for your deparment.
